You can fully build reports using Power BI Desktop at no cost.
You can:
- Connect to data sources (Excel, CSV, databases, etc.)
- Model data and create visuals
- Save
.pbixfiles locally
Limitations:
- You cannot share reports via the Power BI Service
- No collaboration or scheduled refresh
How to Install Power BI Desktop
Power BI Desktop is Microsoft’s free application for creating reports and data models. Follow the steps below to install it on your computer.
Before You Begin
• Operating system: Windows 10 or later (64‑bit recommended)
• Permissions: You may need local admin rights to install software
• Internet access: Required for download and updates
Note: Power BI Desktop is not natively supported on macOS. Mac users must use a Windows virtual machine or remote desktop to a Windows PC.
Option 1: Install Power BI Desktop from the Microsoft Store (Recommended)
This option ensures automatic updates.
1. Open the Microsoft Store on your Windows computer.
2. In the search bar, type Power BI Desktop.
3. Select Power BI Desktop published by Microsoft.
4. Click Install.
5. Once installation is complete, select Open or launch Power BI Desktop from the Start menu.
Option 2: Install Power BI Desktop from Microsoft’s Website
Use this option if the Microsoft Store is disabled on your device.
1. Open a web browser and go to:
https://www.microsoft.com/power-bi/desktop/
2. Select Download free.
3. Choose Advanced download options if prompted.
4. Download the 64‑bit installer (recommended unless you specifically need 32‑bit).
5. Open the downloaded file (.exe).
6. Follow the on‑screen installation instructions.
7. When finished, launch Power BI Desktop from the Start menu.

After Installation
1. Open Power BI Desktop.
2. Sign in using your work/corporate Microsoft account when prompted.
3. Confirm the application opens successfully and shows the Power BI start screen.
